All aboard for a travel-themed corporate away day

A corporate away day has to be more than just a jolly. It generally means a substantial financial investment, and companies rightly want to feel that it’s money well spent, that they can achieve specific business objectives as a result of such an event. At MGN events we understand the importance of this, which is why one of our clients entrusted us to provide full event management for theirs.

The event was to involve 450 employees traveling from London, Edinburgh and Paris. Beaumont Estate in Old Windsor proved the ideal venue – easily accessible from London airports, modern and stylish with excellent facilities. Logistics are part of our everyday job, the greater challenge was to deliver an experience that went far beyond standard plenary sessions with break-out groups.

Likewise, it was crucial that we gained an in-depth understanding of our client, a travel company, and their desire to bring together employees who had never met each other, create a positive team atmosphere and communicate the company’s vision for the future following the acquisition of a Paris-based business.

I also appreciated the tremendous support in managing logistics and the perfect execution of the team-building event. From a social media angle, the event was also a great hit, as evidenced by over 200 tweets with many memorable images from the team!

Solution

Delegates arrived at a train station-themed registration area and were immediately immersed in a highly interactive experience, deliberately reflecting the client’s technology-led business, and projected logos throughout the venue ensured our client’s corporate identity came to life. With the venue supporting projection built in, we created truss screens that incorporated the projection into our theme. We built a stage using chrome truss towers and LED lighting created different scenes throughout the conference. Our design theme also called for a giant iPhone! We used a large 90” LED high-powered screen and rigged it portrait format, created an iPhone facia and then created graphics and live feeds to simulate a working phone – simple!

We incorporated features such as a touchscreen quiz on tablets, digital graffiti wall, live tweet board/feed and iPhone selfie photobooth – and smartphone charging stations ensured no one lost battery life. We devised a series of team-building activities, each one based on a European destination and discovered via an outdoors treasure hunt against the clock.

The activity provided plenty of fun for delegates, as well as building greater awareness of their business culture. Once completed, the MGN Events team had just 30 minutes in which to calculate the final results for each team. The hectic but rewarding day was rounded off with an evening meal and entertainment by a magician, fire eaters, a roaming band and a fun karaoke session.
