COVID-19 – how MGN events is dealing with the situation

Now that Coronavirus (or COVID-19) has been declared a pandemic and cases are becoming increasingly more prevalent in the UK, we feel it’s important to let you know how we are approaching the situation when it comes to events. Essentially, we are monitoring developments, the guidance issued by the Government and the health advice available via the NHS 111 service, planning for the worst and hoping for the best. 

Keeping everyone safe is our priority

Without our team of amazing people we are nothing and we are committed to limiting the risk of exposure to COVID-19. In the event that people are advised to work from home, MGN events is ready and able to keep operating effectively. We have robust systems and processes in place and, whether we are in the office or not, can still do what we need to do. Should any member of the team start to feel ill or develop a cough, they will immediately cease any on-site work and stay at home.

Clients who have events coming up

We have now contacted all of our clients and our intention is to offer as much flexibility as possible for contracted events. If the situation escalates and early summer events (April – July) cannot go ahead, we intend to offer clients the option to postpone their events and reschedule within three months of the original date. This is at no extra cost, we are only interested in ensuring that our clients’ events can still happen. However, we can’t absolutely guarantee that all venues and all suppliers will be able to offer the same level of flexibility, and we are contractually obliged by existing venue/supplier agreements. Your event manager will keep you informed at all times – this is one of the advantages of working with a professional events company, we’ll deal with everything when plans have to change.

If your event is still going ahead, please rest assured that we will take every possible precaution to minimise risk of exposure to the virus. Simple things such as installing hand sanitisation points will also help put guests’ minds at rest.

The digital world has so much to offer in this situation – even if you have delegates in different countries, everyone can still communicate. Your keynote speaker can still reach everyone, we can organise a live Q and A session, there are plenty of options to explore. So all is not lost, just let us know if this could work for you. 

What happens after the summer?

At this current moment, we have no reason to believe that events planned for September onwards should be affected. Certainly, we are still receiving enquiries and bookings for later in the year. As far as we are concerned, once the outbreak has peaked during the next few months it will be a case of business as usual. 

Plan ahead

Once COVID-19 has disappeared, demand for venues, suppliers and other event services will be high – all those events that had to be reorganised for a later date will be competing with other events that were delayed or already booked. So do start thinking about any events you may have coming up and ask your professional events planner to reserve some dates. Not only does this give you a better chance of securing your preferred venue, it also shows goodwill during this period of uncertainty.
