Can you help us find the right venue for our conference?
Yes. We source venues based on your event objectives, audience size, location requirements and budget. We have established relationships with venues across the UK, from iconic London locations to countryside conference centres, and we handle all venue negotiations and logistics on your behalf.
Do you manage conference content and speakers?
Yes. We support with agenda design, thematic development, speaker sourcing and coaching, panel session management, and on-stage production. Our creative director, with a background in theatre from the Central School of Speech and Drama, brings a storytelling approach to content flow that keeps audiences engaged throughout the day.
What AV and production capabilities do you have?
We have our own in-house production team and a warehouse in Windsor stocked with staging, LED screens, lighting, sound and technical equipment. This means we control quality directly, respond faster to changes and deliver a higher standard of production than agencies that rely entirely on third-party suppliers.
Can you deliver hybrid conferences for remote and in-person audiences?
Yes. We design hybrid conferences that give remote attendees a genuinely engaging experience, not just a camera pointed at a stage. This includes multi-camera production, professional live streaming, interactive tools, dedicated online hosting and breakout capabilities, all managed by our in-house production team.
How involved do we need to be in the planning process?
As much or as little as you like. We offer full end-to-end conference management, from strategy and creative concepting through to delivery and post-event wrap-up. Some clients want to be closely involved in content development; others prefer to hand us the brief and trust us to deliver. We adapt to your working style.

Conference energisers are short, interactive moments designed to re-engage audiences and maintain energy levels. These can include interactive sessions, entertainment or creative interventions that help keep attendees focused and involved throughout the event.
How far in advance should we book a conference organiser?
The ideal lead time depends on the scale and ambition of your conference:
- 9 to 12 months ahead for large multi-day conferences, global or hybrid events, and projects involving premium or peak-season venues
- 6 to 9 months ahead for mid-sized internal conferences of 200 to 500 delegates
- 3 to 6 months ahead for smaller, single-location conferences with a focused scope
We can deliver conferences on shorter timelines when required. The earlier we start, the more we can influence venue choice, creative concept, speaker sourcing and production design, and the better the commercial terms we can negotiate on your behalf.
How much does it cost to organise a conference?
Conference budgets vary widely depending on six main factors:
- Delegate numbers. Costs scale with attendee count across catering, accommodation, venue capacity and production.
- Venue choice. A countryside conference centre, a central London hotel and a blank-canvas warehouse space all sit at very different price points.
- Production ambition. Stage design, LED screens, lighting, sound and set build are often the largest single line in the budget.
- Content and speakers. External speaker fees, film production, presentation design and creative development all add cost.
- Virtual and hybrid delivery. Streaming platforms, multi-camera production and dedicated remote hosting typically add between 15 and 30 percent to the production cost of an equivalent in-person event.
- Format and duration. Multi-day conferences, overnight accommodation and off-site activities increase the total scope significantly.
As a rough guide, most corporate conferences we deliver sit between £50,000 and £500,000+, scoped against the factors above. We provide transparent, itemised proposals so you can see exactly how your budget is allocated.
How do you measure the success of a conference?
We define success against the objectives set at the start of the project and track it across three stages:
- Before the event. We agree clear success metrics with you at kick-off. These typically include engagement indicators such as registration and attendance rates, alongside business objectives like message recall, team alignment or sales pipeline generated.
- During the event. We capture engagement metrics in real time, including session attendance, delegate interaction, Q&A and polling responses, and for hybrid events, stream analytics such as watch time, drop-off and interaction rates.
- After the event. We run delegate sentiment surveys, analyse feedback by theme and deliver a post-event report linking the data back to your original objectives. Where relevant, we track longer-term outcomes such as behaviour change, internal engagement scores or sales conversion in the weeks following the event.
This turns a conference from a moment in time into a measurable programme with evidence of impact.
What happens if something goes wrong on the day?
Live events carry risk, and experienced conference organisers plan for it rather than hope it does not happen. Our approach has three layers:
- Contingency planning. Every conference has a documented risk register covering venue, production, speakers, travel, weather and technology. Each risk has an assigned owner and a pre-agreed response.
- In-house team and kit. Because our production team and equipment are in-house, based at our Windsor warehouse, we can respond to problems faster than agencies that rely on third-party suppliers. We carry spare kit on site and have backup plans for critical technology.
- On-the-day command. A senior MGN producer runs the event with a dedicated comms line to your lead. Any issue is contained and resolved without it reaching your delegates. Most of the time, nothing visibly goes wrong because the contingency work is already done.
We carry full public liability insurance and work to recognised health and safety standards across every event.
