Objective
A combined end of year conference and 25-year anniversary celebration
For large organisations, the end of year conference is a pivotal internal moment. It is often the only opportunity for colleagues across regions and functions to come together, reflect on performance and align around future direction. When designed well, it reinforces stability, strengthens culture and builds momentum for the year ahead. MGN Events was appointed to deliver the McLaren Group’s End-of-Year Business Update at the InterContinental London – The O2, bringing together 850 colleagues for a moment of reflection, alignment and celebration.
This event carried added significance, marking 25 years of McLaren alongside the core objectives of an end of year conference. The brief required the experience to balance past and future: celebrating organisational milestones and achievements while clearly communicating key business updates, regional successes and strategic priorities. The conference needed to feel concise, confident and credible, giving leadership a strong platform to inform and reassure colleagues during a period of continued growth and change.
Beyond information sharing, the event needed to inspire and engage. Creating space for recognition, networking and celebration was central to reinforcing culture and ensuring colleagues felt valued for their contribution. These combined objectives shaped every aspect of the experience, from content flow and production design through to the seamless transition from conference to anniversary celebration, resulting in a single, cohesive journey rather than two separate events.


The brief
MGN was briefed to organise and manage a high-quality, engaging end of year conference followed by a large-scale evening celebration, all within a single venue and a tightly controlled schedule.
The conference needed to deliver a professional, polished experience that reflected the McLaren brand, supported senior leadership messaging and accommodated live presentations, demonstrations and awards. It had to feel confident and credible, reinforcing a sense of organisational stability and growth.
The celebratory party that followed needed to deliver a clear contrast in energy while remaining connected to the overarching narrative. The brief called for a strong sense of “wow”, a fun and inclusive atmosphere, and a design that clearly referenced the 25-year milestone, using silver and infinity as core creative themes.
Operationally, the brief included full management of event registration, pre-event communications, on-site delegate flow and supplier coordination. A particularly critical element was the two-hour turnaround between the conference and party, requiring meticulous planning, precise scheduling and calm execution under pressure.
Above all, the event needed to feel seamless to delegates. The complexity behind the scenes should never be visible; instead, colleagues should experience a smooth, confident and enjoyable journey from arrival through to the final moments of celebration.



What we did
Designing the Conference Experience:
The conference element was designed with clarity and pace at its core. In any large-scale end of year conference, attention is a finite resource. The challenge is to hold focus, land key messages and maintain energy without overwhelming the audience.
MGN worked closely with our client to support a concise agenda structure, ensuring that presentations flowed logically and that transitions between speakers, content and awards felt intentional rather than fragmented. A strong production framework underpinned this approach.
A 10m x 4m branded stage backdrop formed the visual anchor of the room, supported by dramatic, well-balanced lighting that elevated the space without distracting from the content. Headset microphones for speakers ensured clarity and confidence on stage, while a lectern supported more formal moments within the programme.
Live content management was a critical component. On the morning of the event, last-minute content changes were required — a common reality in senior corporate environments. The MGN team handled these edits calmly and efficiently, integrating updates without disruption and ensuring the show continued to run seamlessly.
One standout moment within the conference was the appearance of a robotic dog on stage, demonstrating how emerging technology can be applied within the construction environment. This was more than a novelty moment; it provided a tangible illustration of innovation and future-focused thinking, reinforcing McLaren’s forward-looking narrative within the broader end of year conference story.


Registration, Communications and Delegate Management:
For an event of this scale, the delegate journey begins long before arrival at the venue. MGN managed the full event registration process, creating a clear registration page supported by a comprehensive FAQs section.
Three structured communications were issued to the database: an initial invitation to register, detailed joining instructions, and a one-week-to-go reminder. This phased approach helped manage expectations, reduce on-the-day queries and ensure delegates arrived informed and prepared.
On site, McLaren employees supported guest registration through a digital QR code check-in that was generated from their pre-event registration. This enabled efficient check-in and a welcoming arrival experience. The registration desk was designed to manage volume without congestion, maintaining a calm and professional first impression for the end of year conference.


Transforming the Space for Celebration:
Once the conference concluded, the event entered its most operationally demanding phase. Within a two-hour window, the Arora Ballroom needed to be transformed from a formal conference environment into a high-energy anniversary celebration.
MGN created a detailed loading bay and install schedule, coordinating all suppliers to ensure equipment, décor and production elements were installed in a precise sequence. A large on-screen countdown timer kept everyone aligned to the schedule, maintaining momentum and focus throughout the turnaround.
The party design was centered around a silver and infinity theme, reflecting both the 25-year milestone and a sense of continuity and future possibility.
A 12m x 12m silver mirror dancefloor formed the heart of the space, immediately changing the energy of the room and drawing guests into the experience. Surrounding this, giant clusters of silver orbs added scale and visual drama, while silver and LED poseur tables supported social interaction without cluttering the floor.
An infinity mirror DJ booth surround became a focal point, visually reinforcing the theme while supporting the transition into the evening’s entertainment. Branded balloons were used to add height and softness to the space, balancing the reflective surfaces and creating a sense of celebration without tipping into excess.
A central silver mirror circular bar, positioned close to the dancefloor, encouraged movement and interaction, helping to prevent bottlenecks and keep energy levels high throughout the evening. Smaller details, such as silver candles dotted around the room, added warmth and texture, ensuring the environment felt considered rather than purely spectacle-driven.


Catering and Hospitality:
Catering was designed to support the informal, social nature of the celebration while accommodating a wide range of dietary requirements. Bowl food was selected to allow guests to eat easily while standing, networking or moving around the space.
The menu included two vegan options — pearl barley risotto verde with peas, asparagus, vegan pesto and maitake mushroom, and Thai yellow tempeh curry with jasmine rice — alongside fish and chips and BBQ cheddar cheeseburgers with red onion relish and gherkins. Dessert was a classic black forest gateaux, offering a familiar and indulgent end to the meal.
The bar offering included prosecco, wine, beer and soft drinks, with spirits available on a pay-as-you-go basis. Tray service at the beginning of the party ensured guests were welcomed immediately into the celebratory atmosphere, reinforcing the sense of occasion after the more formal end of year conference.

Entertainment and Atmosphere:
Entertainment was layered to build energy gradually rather than peaking too early. A DJ anchored the evening, supported by a live saxophonist who played alongside the DJ to add warmth, spontaneity and a live performance element to the soundtrack.
Two mirror performers moved through the space, dancing with guests and creating moments of surprise and interaction. Their reflective costumes tied directly into the silver theme while encouraging participation and adding a sense of playfulness to the experience.
Lighting was adjusted as the event moved into the party phase, shifting from dramatic and focused to dynamic and immersive, reinforcing the change in tone without feeling abrupt.

The results
Despite the complexity of the brief, the event was delivered seamlessly from the delegate’s perspective. The two-hour turnaround between conference and party was achieved precisely on schedule, with all production, décor and catering elements in place and ready as guests re-entered the space.
The ability of the team to adapt to content changes on the morning of the event ensured that leadership messaging remained accurate and relevant, without any visible impact on the flow or confidence of the show.
Internal feedback from the client was overwhelmingly positive, highlighting not only the quality of the experience but also the professionalism, calmness and helpfulness of the delivery team throughout the process.
From an organisational perspective, the event successfully achieved its objectives. It delivered a clear, engaging end of year conference that communicated key business updates and strategy, while the evening celebration reinforced appreciation, connection and pride at a significant milestone in McLaren’s history.
